Our website does not use contact or enquiry forms. If you choose to contact us, you can do so using the email address provided on the website.

Please avoid including special-category information, highly sensitive personal information, passwords, confidential client material or information you are not authorised to share in an initial email enquiry unless it is genuinely necessary.

Website and technical information

Our website is hosted using Framer.

Framer may process limited technical information necessary to deliver, operate, maintain and secure the website. This may include information such as IP addresses, device or browser information and other technical request information.

We also use Framer’s built-in Analytics service to understand general website usage. Framer Analytics does not use cookies or persistent identifiers and the analytics information made available to us is anonymised and cannot be traced back to an individual visitor.

Interview and project information

Where you participate in an interview connected with client work, we may process:

  • Your name, role, organisation and contact details.

  • Your image and voice.

  • Information and opinions provided during the interview.

  • Audio or video recordings.

  • Automatically or manually generated transcripts.

  • Notes, quotations, approvals and feedback.

We will tell you before recording an interview and explain its intended purpose.

We normally receive information:

  • Directly from you.

  • Through email or LinkedIn correspondence.

  • During video calls or interviews.

  • From a client or agency that has asked us to contact or interview you.

  • Through Framer in connection with operating, securing and understanding use of the website.

We use your information to respond to your message, understand your requirements, assess whether we can help, arrange discussions and prepare proposals or quotations.

We normally rely on taking steps at your request before entering into a contract.

We use relevant contact and project information to:

Where an interview is recorded, we use the recording and transcript to create accurate notes, identify relevant quotations and produce the agreed work.

We rely on performing the relevant contract and our legitimate interests in producing accurate, high-quality work.

Where we act solely on a client’s instructions, the client is responsible for determining the applicable lawful basis.

We will inform participants before recording and will not record an interview without their knowledge.

Operating and protecting the website

Limited technical information may be processed where necessary to:

Our website is hosted using Framer and we use Framer’s built-in Analytics service.

Framer Analytics does not use cookies or generate persistent identifiers. The analytics information made available to us is anonymised and is used to understand general website traffic and usage.

We do not currently use:

  • Google Analytics.

  • Advertising or remarketing pixels.

  • Heatmaps.

  • Session-recording tools.

  • Third-party behavioural analytics.

Based on our current website configuration, we do not use non-essential cookies for analytics, advertising or tracking and therefore do not operate a cookie-consent banner.

External websites or services that you choose to visit through links on our website may use their own cookies or similar technologies. Their own privacy and cookie information will apply.

If we introduce additional analytics, advertising, embedded services or other technologies in future, we will review this notice and implement consent controls where required by law.

9. Who receives your information

We may provide personal information to service providers and other organisations where necessary to operate the website and business, including:

  • Framer B.V., which provides our website platform, hosting and related services.

  • Microsoft, which provides Microsoft 365 email, cloud storage and Microsoft Teams.

  • Other video-conferencing or transcription providers selected by a client or agency for a particular interview.

  • Professional advisers, such as accountants, insurers or legal advisers, where necessary.

  • Courts, regulators, public authorities or law-enforcement bodies where disclosure is legally required.

  • A relevant client, agency or project partner where this is necessary for the project and the information may lawfully be shared.

Email enquiries are received and processed through our Microsoft 365 email account.

We do not permit service providers to use personal information for their own unrelated purposes where they process it on our behalf.

10. International transfers

Some of our service providers or their sub-processors may process personal information outside the United Kingdom.

Framer B.V. is based in the Netherlands and Framer and its sub-processors may process information in other countries. Microsoft and other service providers may also process information internationally.

Where a transfer of personal information outside the UK is subject to restrictions under UK data-protection law, we use or rely on appropriate safeguards where required. These may include:

  • UK adequacy regulations.

  • Approved contractual protections.

  • The UK International Data Transfer Agreement.

  • The UK Addendum to approved standard contractual clauses.

  • Other transfer mechanisms permitted under UK data-protection law.

We take reasonable steps to use providers that offer appropriate contractual and security protections.

  1. How long we keep information

We do not keep personal information indefinitely merely because it may be useful in future. Our normal retention periods are as follows.

Enquiries that do not become client relationships

We retain enquiry emails and related correspondence for up to 12 months after the last meaningful contact.

Enquiries that lead to client work

Relevant proposals, contractual correspondence, project communications and records may be retained for up to six years after the relationship or project ends where needed to maintain business records or establish, exercise or defend legal claims.

Accounting and tax records

Invoices, payment records and related accounting information are normally kept for six years from the end of the company financial year to which they relate, or longer where legally required.

Interview recordings

Recordings are normally deleted within 90 days after final project delivery, once the recording is no longer required to verify the transcript, quotations or work produced.

A different period may apply where the relevant client or agency requires earlier deletion or has agreed another appropriate period.

Interview transcripts and working notes

Transcripts and notes are normally deleted within 12 months after final project delivery unless they remain necessary for an ongoing client relationship, a legal claim or a documented client requirement.

Website analytics and technical information

The Framer Analytics information available to us is anonymised and is not retained by us as identifiable visitor information.

Framer may retain technical service information where necessary to operate, maintain and secure its services in accordance with its applicable service-retention arrangements.

Privacy requests and complaints

Records relating to privacy rights requests and data-protection complaints are normally retained for three years after the matter is closed, unless a longer period is necessary because of an ongoing dispute or legal requirement.

Information may remain temporarily in secure backups after deletion from active systems.

We use reasonable technical and organisational measures designed to protect personal information, including:

  • Multi-factor authentication.

  • Restricted account and file access.

  • Password-protected systems.

  • Encrypted website connections.

  • Cloud backups.

  • Antivirus and device-security software.
